Executive Board Meeting Minutes

Meeting called to order at 7:30pm
Attendees:, Roxanne Bowser, Ben Katz, Allison Kullenberg, Rhonda Mendez, Teresa Nam, Kathy O’Connor, Lynn Schluns, Daniel Taylor, Sue Zempke
OLD BUSINESS
Reminder: all volunteers need to complete a Parent Volunteer Application. This form can be filled out online at www.friscoisd.org/students/form_vol.htm.
Reminder: check that your contact information is correct on the CMS Band website
Officer & Committee Head Updates:
Summer Cougar Camp – went well, remember to send fee envelope out with summer letter next year.
Strikz (Sue/Roxanne) – went great! It worked well to offer free bowling – will offer free bowling next year. Remember to double volunteer staffing on buses and a check-in table.
T-shirts/Band Polos (Kathy) – Ordered $1567.50 in t-shirts (+5 extra shirts in each size and S&H), Ordered $1140.70 in polos (+5 extra shirts in each size and S&H)
NEW BUSINESS
Upcoming Events and Volunteer needs:
Football
games –9/11/07 (4:45-8:30p) 8th grade teams at Dr. Pink
(location changed to PizzaHutPark stadium)
10/2/07 (4:45-8:30p) 7th grade teams at Dr. Pink
Volunteer needs:
- during the day a volunteer to load coolers/ice down waters/soda (Will have 70 kids – will need 140 waters/70 sodas)
- will need 22 pizza’s (Sue Z. to order)
- a volunteer to pick up the pizza’s
- will need a volunteer to go to stadium at 4-4:30 and rope off an area for the band to sit.
- Need 4 bus parents
- Need 2 “muscle crew” parents, 1 to watch percussion
- Need 2 parents as roamers
Fall Dance9/14/07 (6th grade – 4:30-6pm; 7/8th grades – 6:30-8pm)
Teresa Nam is coordinating this event.
Volunteer needs:
1. Ticket sales: 9/10-9/14 (11:15 – 12:35) will need 1-2 parents each day during lunch to sell tickets (Rhonda will make tickets – will need a place to put students name for door prize drawing
2. Chaperones: will need 6-8 parents to chaperone. There will also be administrators and a police officer there. Will make arrangements for police officer to stay for 30 minutes after dance ends. (Allison)
3. Door prizes – Teresa will call local businesses for donations, will let them know we will list them as a donor in our Fall Band Concert program
4. Will need volunteers to help decorate – will need to start decorating as early as 3:00. Theme – “Glow with Us”. Will have lights, balloons ($125), neon, Mr. Katz will look into borrowing CHS’s disco ball and arranging for hanging it, Mr. Katz will find out if it is ok to cover the windows with paper, Mr. Katz will make flyers to advertise dance. Rhonda will take care of announcements for the dance.
5. Novelties: Sue Z. will order
6. Pictures – Mr. Katz will have the band council make a photo back-drop and work on the card holders for the photos. Will need picture takers, money collector, a volunteer to put pics in cards, a volunteer on stage for photo crowd control. Last year the pics were sold at 1 for $3 and 3 for $5.
7. Will need 6-8 parents to sell concessions and novelty items
8. Will need volunteers to help clean up.
There were lots of parents who signed up to volunteer at the dance so shouldn’t have any problem getting all the volunteer duties covered.
Fall Fundraiser (tenative start date 9/27/07) – Rhonda Mendez will be coordinating the fundraiser. Volunteer needs – TBD. As in past years the kids will be selling quality items including personalized pens. A participation permission slip will be sent out on 9/12/07.
Clark Pep Rally 10/2/07 (3:00pm) Volunteer needs: 1-2 parent volunteers
Football Game10/2/07 (see info above)
Fundraiser ends 10/11/07 – Volunteer needs: TBD
Centennial HS Band Football Game10/12/07 tabled until next meeting
Fall Concert 10/19/07 (7/8th grades) tabled until next meeting
Treasurer’s Report
Roxanne Bowser went over the current status of the Band Booster budget and presented the proposed 2007-2008 Band Booster budget. Roxanne reported that the tax forms for 2006-2007 we unintentionally not filed on time. The previous Booster treasurer must have been unaware that the Band Booster tax year ends 5/31. Roxanne has gotten proposals from 2 attorneys to file the appropriate forms along with an appeal to get the $2000 penalty fee back. The accountants feel that we will get the penalty back. It was decided to pay the penalty now rather than waiting for the appeal. The Boosters will hire one of the accountants and plan to have them file taxes for 2007-2008 also.
*The next Board meeting will be Monday, Sept. 24 at 6:00pm in the band office at Clark.
