Executive Board Meeting Minutes
ClarkMiddle School
Meeting called to order at 6:05pm
Attendees: Roxanne Bowser, Allison Kullenberg, Rhonda Mendez, Kathy O’Connor, Lynn Schluns, Daniel Taylor, Sue Zempke
Special Report
Fall Band Party: Friday, 10/26/07 6p-8:30pm
Carla Smith, the Fall Band Party coordinator updated the board on the status of the party planning. She emailed the board a list of volunteer needs and schedule of events (see attached). Additional items discussed: we are expecting approximately 120-150 kids, the band directors will be in charge of approving music brought by the kids, the SRO has been hired, Carla will make name tags for the parents, Sue Z. will see if Double Dave’s pizza will offer a discount (the owner is a band parent), Mr. Taylor will check to see if it is ok to have kids eat in cafeteria (there may be a fee for custodial clean up), the movie will be The Incredibles, we will not be allowing food items in the band hall, we will get drop cloths to place under cookie making tables, the band council members will help with the party, Mr. Taylor will check to see if the school has any tv’s on rolling carts, a note is being sent home requesting tv’s, game controllers, etc., clean-up will start at 8:00 with the prize drawings at 8:15 – the kids will be outside with the Band Directors and SRO ready for pick-up at 8:30. The board approved donation of any leftover candy/game prizes to donate to Child Protective Services for a party they are having the following day. We still need lots of volunteers. Because this is the weekend before Halloween this is a busy night – next year we may want to move the party to a different weekend.
Treasurer’s Report
Roxanne Bowser went over the current status of the Band Booster budget (see attached Treasurers Report). The IRS has waived the $2000 penalty.
OLD BUSINESS
Officer & Committee Head Updates:
Fall Fundraiser: Rhonda Mendez reported that the fundraiser went well. We had $15044.00 in sales, a $6769.80 profit and $901.00 in donations.
Centennial HS Band Football Game10/12/07 – this went well. Next year consider staying till after 3rd quarter so the 8th graders can talk to the HS band members after the half-time show.
Fall Concert 10/19/07 (7/8th grades) – went great! Board recommendation – Mr. Katz talk more at end of concert (remind about purchasing CD, pump up parents about Band!!!)
Pre-Region: Saturday, 10/20/07 – went well. Consider next year – serve coffee, possibly provide breakfast food.
NEW BUSINESS
Beginner Band Concert – Thursday 10/25/07 (7:00pm)
Symphonic Band will be playing. They need to arrive at 7:15 in their concert uniform, a voice mail needs to be sent to advise the symphonic parents. Volunteer needs: 2-4 parents.
Phase I All-Region Auditions, Thursday 11/01/07 (4-9pm)
Auditions are at Blalack MS in Carrollton. We will have 57 kids auditioning. Will have 2 buses leaving Clark at 4:45. Parents can pick their child up early but they must check them out with one of the parent chaperones or advise the directors ahead of time. The kids will need to bring money for food as Blalack will have a concession stand open for dinner. Volunteer needs: 4-5 parents.
Phase II All-Region Auditions, Saturday 11/10/07 (8am-5pm)
Callbacks are at Arbor Creek MS in Carrollton. Mr. Taylor reported to expect 20-25 kids. We will have an a.m. bus and a p.m. bus. Volunteer needs: 4 parents.
Jazz Concert – Tuesday, 11/13/07 (7:00pm)
Volunteer needs: none

Directors Notes: it would be helpful if the muscle crew that helps with concerts can come the evening before the concert to help put together the risers on the stage.
