Executive Board Meeting Minutes

ClarkMiddle School

Meeting called to order at 6:07pm 

Attendees: Roxanne Bowser, Allison Kullenberg, Rhonda Mendez, Kathy O’Connor, Lynn Schluns, Daniel Taylor, Sue Zempke

Treasurer’s Report

Roxanne Bowser went over the current status of the Band Booster budget (see attached Treasurers Report).

OLD BUSINESS

Officer & Committee Head Updates:

Fall Band Party: Great party! Need parent volunteer names to send “thank you’s” to. Consider asking for donations of old tv’s – hardest item to acquire as folks upgrade to flat screen, etc. Suggest not showing a movie next year and use the movie room for more games or DDR. Announce need for tv’s at concert.

Fall Fundraiser: Rhonda Mendez reported that the fundraiser went well. (See treasurer’s report for totals.) This amount doesn’t include the online sales. We still need to collect for pen fees.

All-Region Auditions: To do next year: take music stands, consider making treat bags for kids after they’re done auditioning at Phase II (water, treats). Used one bus to shuttle back and forth for Phase II which worked well.

Beginner Band Concert : need private lesson teachers names on program

NEW BUSINESS

All-Region Concert & Clinic: Saturday, 12/08/07 (Colleyville Heritage H.S.)

Need 1 bus, meet at CMS at 6:45am, there will be 22 kids – need 4 doz. Donuts/2 gallons of o.j.

Schedule:       8-11:30 rehearsal

                        11:30-1:30 lunch (Cici’s – we pay – parents leave early to save tables)

                        1:30-4:30 rehearsal

4:45-5:45 dinner (Mr. Katz has found a nearby restaurant –will check into fixed menu – kids need to eat and change into band uniform)

6:30-9pm concert

Parents to pick up kids – Mr. Taylor will stay to make sure everyone gets picked up.

Elementary tours with Symphonic Band: Wednesday, 12/12

Students to meet at Smith at 7:45am. During Symphonic Class will go to CHS and play with the band (12:30-1:30). Will be at Christie from 1:452:30.

Friday, 12/14 Meet at Shawnee Trail at 7:45am. Bus to transport to CMS – back by 9am.

Will need 1 bus.  Will wear band t-shirts. Mr. Katz will send voicemail reminder.

Volunteer needs: 1 designated parent to shadow percussion students each day, 2 add’l. parents.

Holiday Concert – Symphonic/Concert Bands:  Tuesday, 12/18/07  7:00pm

Mr. Katz will see if the stage is available the evening of Mon. 12/17 – if so the muscle crew will set up stage then (need 4 volunteers).

Night of concert volunteer needs:

2 – 7th grade parents/2 – 8th grade parents: check uniforms, make sure percussion has all necessary equipment, need to tape off 15 benches nearest the band hall entrance, crowd control of students.

After concert – symphonic students to carry music stand to band hall, concert students to carry a chair to band hall, a parent needs to be in the band hall to make sure they don’t leave everything in the entrance of the band hall.

Need check for $250 for recording fee (John Milam).

For programs – need list of businesses that made donations for Fall Band Party from Carla Smith, Recognize Teresa Nam, Carla Smith, Holly Clarkson, photographer (Frances). Mr. Katz to email list of region members and songs for program.

Instrument Screening Night: January 24, 28 & 31st  (4-9:00pm)      VERY IMPORTANT!

Sue Z. will call Misty Kauffman at Holtze Music to see how many workers they will need that night. Will work similar to last years event – will arrange cafeteria differently to better funnel students through all instrument stations. Will use private lesson teachers as screeners for first 2 nights ($2000). Will provide dinner for them in band hall (FISD has deal through Jason’s Deli).

Volunteer needs: 4 parents to meet and greet folks at doors

                                    Holtze helpers – TBD

Solo Ensemble at WMS (Saturday 1/26/08) – no volunteers needed

Chamber Music Concert at CMS (Tuesday 1/29/08) – no volunteers needed

The next Board meeting will be Monday, 12/17/07 at 6:00pm in the band office at Clark.
