Executive Board Meeting
Meeting called to order at 6:04pm
Attendees: Sue Zempke, Cathy Ripkowski, Renee Taylor, Don James, Heather Wattier, Jane Arradaza, Libby Draughon, Janet Hilton, Benjamin Katz, Jessica Powell
Treasurer’s Report
Cathy Ripkowski presented the financial report showing the checking account currently has a balance of $9,507.89. Cathy also updated the amount made on the dance. This amount is $2,599.00.
Secretary
Heather Wattier asked if there were any changes to the minutes and none were noted.
VP of Fundraising
Renee Taylor reported gross sales on the pens as $13,297.00 and gross sales on the coffee as $8,733.00. Renee stated 29 kids sold 168 bags of coffee. The pens are supposed to come in on November 17th but delivery date to the students for the pens and the coffee has not been determined as of yet.
VP of Volunteers
Libby Draughon stated Phase I All-Region Auditions will be Thursday, November 5th. We will need approximately 9 parent volunteers. There will be two different busses for the event leaving at staggered times. Once Mr. Katz has the times we will have a better idea as to what time the 1st bus will leave. It is estimated that the first bus will return on or around 7:00pm and the 2nd bus will return at the conclusion of the event. Sue Zempke will be the “point person” since all three band directors will be judging at the event. Mr. Katz stated that there will be permission to travel forms in a bag and that if a child is going to leave the event they must leave with a parent or legal guardian. He also stated 2 or 3 parents will be needed to stay with the student’s belongings during the auditions and that additional parents will be needed to roam and help students find their audition rooms. On Saturday, November 14th, Phase II of All-Region will take place. Mr. Katz stated he will know late on November 5th which students made it to Phase II. It is estimated we will need approximately 6 parent volunteers for this event. The event will start at 8:00 am and go until 5:00pm. Mr. Katz will need a parent volunteer to unlock the band hall in the morning. More information will come out on this event after Phase I. The Jazz Band concert scheduled for Tuesday, November 10th is going to be rescheduled to December 1st or 2nd. Mr. Katz stated with having a couple of Monday’s off of school, the Jazz Band is not ready to perform on November 10th. Libby stated on Tuesday, December 12th, there will be a Fall Clinic for Concert Band. We will need 2 Concert Band parent volunteers for this event. On Thursday, December 10th, there will be a Fall Clinic for the Honor and Symphonic Bands. We will need a total of 4 parent volunteers for this event, 2 parent volunteers from Honor Band and 2 parent volunteers from Symphonic Band. Janet Hilton, stated she will get a concessions volunteer list for the Shattucks. Janet will send an email out with volunteer opportunities.
Director’s Notes
Mr. Katz announced a few changes with the calendar. Tentatively, January 21st will be the showcase the instruments event. He also stated he is moving the Winter Band party to the 19th or 26th of February. There will be more information to follow at a later date. He discussed when the board should next meet. It was decided the board would meet on Wednesday, November 18th at 6:00pm in the band hall.
