Clark Middle School Band Boosters

Executive Board Meeting 

Meeting called to order at 6:06pm

Attendees:  Sue Zempke, Cathy Ripkowski, Renee Taylor, Heather Wattier, Jane Arradaza, Libby Draughon, Janet Hilton, Benjamin Katz, Daniel Taylor, Jessica Powell

Treasurer’s Report

Cathy Ripkowski presented the financial report showing the checking account currently has a balance of $15,635.08.  Cathy stated we received another $1,000 private donation that will be matched by another $1,000 company donation.  Cathy also stated the $450.00 given to the band directors came out of the Awards and Incentives line of the budget.  Cathy asked if there were any questions and none were noted.

Secretary

Heather Wattier asked if there were any changes to the minutes and none were noted.

VP of Fundraising

Renee announced during the pen fundraiser we sold 946 items for a total of $14,797.00.  This number does not include the on-line sales.  The band received $2,666.00 in donations during the fundraiser as well.  Renee stated we should have an approximate profit of $8,000.00 once we pay I-MARK the amount we owe them.  Renee does not have the coffee numbers so at our next meeting we will know the final numbers on the coffee sales.

VP of Volunteers

The Beginning Band Elementary tours will take place in January.  They will visit Christie Elementary on January 6th, Smith Elementary on January 7th, and Shawnee Trail Elementary on January 8th.  Mr. Katz stated no volunteers will be needed for this event.  Janet Hilton announced the All Region Clinic and Concert will take place on Saturday, January 9th.  This event will take place at RL Turner High School.  We will need six parents throughout the day.  Three parents will be needed for the morning shift and three parents will be needed for the afternoon shift.  There will be two one-way busses for this event leaving at 6:45am.  Mr. Katz stated he would like the boosters to provide donuts and juice in the morning around 6:30am, before the busses leave.  He would also like the volunteers that day to reserve a pizza place for the students to have lunch.  Mr. Katz also stated the concert will be around 3:00 that day and the parents will need to pick up their students from RL Turner High School after the event.  Janet announced the Try the Instrument Screening dates would be; Thursday, January 21st from 4:30-8:30, Saturday, January 23rd from 12:00-5:00, and Monday, January 25th from 4:30-8:30.   Volunteers will be needed for this event.  We will need four parents on Thursday, January 21st.  We will need parents to help facilitate check in at the front and to help work the event.  Mr. Katz stated we may need one to two parents to work the Saturday, January 23rd timeslot.  He thought the band directors would be able to manage this day for the most part.  We will need another four volunteers for the Monday, January 25th timeslot.  Mr. Katz announced that there will be approximately 260 kids coming to Clark next year.  Of the 260 new students, around 200 will attend the Try the Instrument Screening dates.  Janet announced we will also need 30 plus parent volunteers for the Winter Party scheduled for Friday, February 19th.   We will also need help soliciting for donations and raffle prizes.  Mr. Katz announced we need approximately 15-16 televisions for this event as well.   He also stated we will need game systems.   The video games are the most popular event at the winter party.

Director’s Notes

Mr. Katz discussed when we should meet next.  It was decided our next meeting will be Wednesday, January 13th at 6:00pm in the band hall.
