Executive Board Meeting Minutes

ClarkMiddle School

Meeting called to order at 6:00pm 

Attendees:, Roxanne Bowser, Ben Katz, Allison Kullenberg, Rhonda Mendez, Kathy O’Connor, Lynn Schluns, Daniel Taylor, Sue Zempke 

Treasurer’s Report

Roxanne Bowser went over the current status of the Band Booster budget (see attached Treasurers Report). She has paid the $2000 penalty to the IRS. The accountant will file the appeal to the penalty. The accountant will also file last years taxes and/or file an extension.

OLD BUSINESS

Officer & Committee Head Updates:

Football Game  9/11/07 at Pizza Hut Park      It went great!!!

Fall Dance Report – Went well. Teresa Nam is still returning a few unused items so we don’t have a figure for total revenue. Teresa Nam has mailed thank you notes to all the businesses that contributed items. Lynn Schluns has emailed thank yous to all the parent volunteers. Next year we need to look for cheaper polaroid film or consider using a digital camera and printer. The photo area needs to be better organized. Need some type of receipt so photographer knows how many photos were paid for (especially with big groups). Need to charge a set price per photo – combo pricing is too hard to track. 

NEW BUSINESS

Upcoming Events and Volunteer needs:

Fall Fundraiser: Rhonda Mendez will be coordinating the fundraiser. The fundraiser starts Mon. 10/1 and ends Thurs. 10/11 (with an extension through Mon. 10/15). Mr. Katz will provide a list of band students so Rhonda can create a spreadsheet to keep track of pen sales. We need to obtain donations of gift cards to use as incentives. Will also have daily candy grabs. Volunteer needs – Will need 4 parents to help distribute pen sale packets. 

Pep Rally – 10/2/07 at CMS: Will need 2 parents to help with crowd control between 3:20 and 3:50. 

Football game  10/2/07 (6:30-8:30p)  7th grade team at Dr. Pink

Because this is a later game we will not need to feed the kids. We will provide water, soda and a treat.

Volunteer needs:

1.      during the day a volunteer to load coolers/ice down waters/sodas

      (Will have 70 kids – will need 140 waters/70 sodas)

2.      will need a volunteer to go to stadium at 6-6:30 and rope off an area for the band to sit.

3.      Need 4 bus parents

4.      Need 2 “muscle crew” parents, 1 to watch percussion

5.      Need 2 parents as roamers

Centennial HS Band Football Game10/12/07 – the 8th grade band members will be attending the CHS football game at PizzaHutPark. There are 33 – 8th grade band members. We will leave Clark at 6:30 and stay for the 1st half of the game & halftime. The kids can stay with their parents after that with prior permission.

Volunteer needs (preferably 8th grade parents):

1.      Need 2 bus parents

2.      Need 1 “muscle crew” parents, 1 to watch percussion

3.      Need 1 parents as roamer

We will be getting more details from the CHS band director.

            Fall Clinic for Symphonic/Concert Bands: Mon. 10/15  4:15-6:30

                        No volunteers needed 

Fall Concert  10/19/07 (7/8th grades) Students should meet in the gym at 6pm for pictures before the concert.

            Volunteer needs:

            2 – 7th grade parents/2 – 8th grade parents: check uniforms, make sure percussion has all necessary equipment.

            2-4 stage hand parents: help with set up, need to tape off 15 benches nearest the band hall entrance, crowd control of students.

After concert – symphonic students to carry music stand to band hall, concert students to carry a chair to band hall, a parent needs to be in the band hall to make sure they don’t leave everything in the entrance of the band hall.

Sue Z. will send email to Lynn S. with a file of the concert program from the 2006 concert (in Microsoft Publisher format). Mr. Katz and Mr. Taylor will get info to Lynn for program.

            Pre-Region: Saturday, 10/20/07  10:00am-noon

                        Volunteer needs:

                        Will need one parent at 10:00am to take roll

            Beginner Band Concert – Thurs. 10/25/07  (time?)

There are 130 beginning band members. Discussed pros and cons of having Symphonic Band play after beginners. Mr. Katz has not decided whether Symphonic will play at the beginner concert (will need 2 parent volunteers if they do play). Will need 4 beginner band parents to be available to help at concert.

Fall Band Party: Friday, 10/26/07 6p-8:30p

Sue Z. will contact Carla Smith and Holly Clarkson to see if they will chair the event. Will invite them to our next meeting to discuss any details of party. Mr. Katz has already made arrangements for a police officer to be at the party from 8-9pm.

*The next Board meeting will be Monday, 10/22/07 at 6:00pm in the band office at Clark.
