Executive Board Meeting Minutes

Clark Middle School

Meeting called to order at 6:00pm 

Attendees: Jane Arradaza, Benjamin Katz, Allison Kullenberg, Sylvie Marquet, Cathy Ripkowski,  Lynn Schluns, Daniel Taylor, Renee Taylor, Sue Zempke

Treasurers Report

Cathy R. presented updated treasurers report (see attached). There are a few students who still owe their band fee. Mr. Katz will attach a fee reminder to their practice card.

VP of Fundraising Report

Renee T. presented information on Pen fundraiser. Information and catalog available at www.clarkband.org under Pen Sales. The kick-off is 9/25. Will need parent volunteers to help collect orders and hand out grab bags as follows: 9/29 & 10/6  2-3 parents for shifts (8:40-12:01 & 12:39 – 3:55). Will need 2 parents on last collection day 10/14.

VP of Volunteers Report: Shirt sizing went well. Have had lots of volunteers sign up for various activities.

OLD BUSINESS

9/12 (Friday) Fall Dance: Carla Smith has volunteered to coordinate decorations. Should have access to cafeteria by 2:00pm. Allison has collected donations from several businesses that can be used for the dance or the fall band party. Have plenty of volunteers to cover needs for dance. (DJ – Robert Conover – is donating part of fee – need to acknowledge in program.)

9/23 (Tuesday) 8th grade football game 6:00pm: need 8 to 10 parent volunteers to chaperone on buses, hand out snacks/drinks. Mr. Katz will get head count of band students and will let Sue Z. know so she can purchase snacks. Bus chaperones need to arrive at 5:00pm – will leave CMS at 5:15.

10/7 (Tuesday) 7th grade football game: ? time game starts, will need 8-10 parent volunteers.

10/10 (Friday) CHS Football game: 8th graders to attend. Band parents will be there – no need for additional volunteers. Mr. Katz will check about food/goodie bags.

NEW BUSINESS

Concessions: Shadducks need volunteers to help work concessions.

10/14 (Tuesday) Fall Clinic: probably rescheduling, date unknown

10/17 (Friday) Fall Concert: Band pictures 6:00pm, concert 7:00pm. Need suggestions for photographer – Fran unavailable. Cathy R. knows a photographer – will see if she is available.

Directors’ Notes:  Mr. Katz will discuss details of scholarship applications with Sue Z.

The next meeting will be held Monday 10/6/08 at 6pm in the CMS band hall office.
