Clark Middle School Band Boosters

Executive Board Meeting

Meeting called to order at 6:02pm

Attendees:  Sue Zempke, Cathy Ripkowski,  Renee Taylor, Don James, Heather Wattier, Jane Arradaza, Libby Draughon, Janet Hilton,  Benjamin Katz, Daniel Taylor

Guests:  Kathleen Hockaday, Michelle Ellis

Dance Committee

Kathleen announced the dance will be October 2nd and the theme will be “Night Cruise”.  Kathleen also stated the photographs that will be offered that night will have a cruise ship as the backdrop.  Michelle Ellis stated she knows someone who can do the tickets for us with a passport theme.  Mr. Katz said he would like to start selling tickets at lunch starting the week of September 21st.  He also stated there will need to be two different colors for the tickets for the two different dance times.  The 6th grade dance will be from 4:30-6:00pm and the 7th and 8th grade dance will be from 6:30-8:00pm.  Sue mentioned the ticket price will be $6.00 to cover the Kiss FM DJ.  Mr. Katz also told Libby we will need volunteers to sell tickets during lunch the week of September 21st.   Two volunteers per day will be needed from 11:00am- 12:45pm.  We will also need volunteers for set-up the day of the dance at 2:30pm.  We also need to start soliciting for volunteers for the dance.  We will need approximately 25 to 30 volunteers.  Included in that number, Mr. Katz would like to have six to eight people to tear down decorations, pack up, and sweep and mop after the dance.  Mr. Katz reminded Cathy we will need a cash box and cash that night for the event.  He also stated we need to start putting out solicitation letters asking companies for donations.  Mr. Katz also recommended the Band Boosters put together a dance binder so that there is something to pass on year to year.

Treasurer’s Report

Cathy presented the financial report showing we currently have $13,887.44.  Cathy mentioned the report was done differently this time showing income and expense in each category to help everyone better understand the budget.

Secretary

Heather Wattier asked if there were any changes to the minutes and none were noted.

VP of Fundraising

Renee stated the pen and coffee fundraiser will start on September 24th.  Renee will need help on Sunday September 20th putting together the packets and pens for the fundraiser.  Heather Wattier offered to help with this.  She stated we will also need volunteers for the “grab bag” days.  These days will be September 28th and October 5th.  We will need volunteers on both days in two different shifts.  The shifts will be from 8:30am-12:00pm and 12:00pm-4:30pm.

VP of Volunteers

Libby spoke about still needing volunteers for the football games.  We have three football games we need volunteers for.  The first one is Tuesday, September 22nd.  We will be serving about 140 band students pizza and drinks at this event.  We need approximately 12 volunteers for this event.  We also need volunteers to go early to the games and rope off sections for the band to sit in.  This will need to be done around 4:00pm.  The other volunteers can report at 4:30pm.  The second football game will be Friday, September 25th.  This will be 8th grade students only.  They will be bussed to Pizza Hut Park and will play with the Centennial High School band and will even have the opportunity to march.  We need 4 volunteers for this event.  The last football game we need volunteers for is Tuesday, October 6th.  We will be serving pizza and drinks and will need 12 volunteers for this event.   Libby also mentioned we still need volunteers for concessions and she will be sending out an email regarding these volunteer opportunities.

Director’s Notes

Mr. Katz mentioned we have not sold very many yard signs or decals.  We also still have quite a few band fees to collect.  He mentioned October 17th we may or may not be participating in the Frisco Arts Festival.  He will have more information at a later date regarding this event.  He also mentioned we need to make sure help is not needed for the volleyball concessions.  He discussed when we would meet next.  It was decided we would meet on Wednesday, October 7th in the band hall at 6:00pm.
